Workflow is the automation of a business process, in whole or part, during which documents, information or tasks are passed from one participant to another for action, according to a set of procedural rules. Workflows can be set up either in system admin or by users.

Here we look at how this feature can be used in Recruitment. We will use the departmental figures from Vital Features #1

Employee B resigns, giving one month’s notice, and is entered on the HR system as a leaver on the due date.

This action can trigger a workflow that delivers a Recruitment Requisition to the line manager. This Requisition will be pre-loaded with Job Title and the budgeted figures attached to that position that will be vacant on that due date. These figures are drawn from the HR system. Thus:

 A job description can also accompany this document.

If the manager wishes to hire a replacement within budget guidelines, no further authority should be needed. If it is necessary to hire exceeding the budget, then higher authorisation will be needed.

The hiring manager can approve this request and pass the whole file to the recruiting agent, internal or external.

This not only means the whole process is speeded up without needing a battery of signatures, but also that recruitment can get well under way before the post holder leaves.
